E-mail Storage Quota

Overview

Each Santa Clara County ARES/RACES e-mail account has a quota to protect against abuse and to control the cost of the service. When the quota warning thresholds are exceeded, warning messages are sent to the account holder. When the mailbox is full, any additional incoming messages will be refused. To avoid exceeding quota, all e-mail users should configure their e-mail client according to the standard configuration instructions.

All Santa Clara County ARES/RACES e-mail accounts have the following quota settings:

Quota Warnings

Quota warning messages are sent to the ARES/RACES user when each warning threshold is exceeded. The warning messages for each threshold are sent to the user's ARES/RACES mailbox and to the user's external e-mail address. Warnings sent to external e-mail addresss include the ARES/RACES e-mail address so the user can tell which mailbox is becoming full.

Quota warnings for each threshold are sent only once; there is no reminder. When a warning is received, the user should take immediate steps to clear out the mailbox and keep it clear, or else risk having incoming mail rejected.

Example 75% threshold warning sent to an ARES/RACES e-mail account:

Example 90% threshold warning sent to an external e-mail address:

Non-Delivery Notification:  mailbox is full

When a mailbox is full, additional incoming messages will be refused. People who try to send a message to a mailbox that is full will receive a Delivery Status Notification (DSN, also commonly called a "bounce message") from their sending e-mail system indicating that the message was rejected by the recipient's server. The exact format of the DSN may vary somewhat. But it usually looks something like the following:

From: MAILER-DAEMON (Mail Delivery System)                    
Subject: Undelivered Mail Returned to Sender

This is the mail system at host <sender's mail system hostname>.

...

Corrective Action

  1. Make sure that the e-mail client is set up properly. In Thunderbird:
    • Go to Account Settings > Server Settings
    • UNcheck "Leave messages on server"
  2. Make sure you have removed all messages from the server. In Thunderbird:
